Event lighting is temporary on purpose
The distinction is worth making: one is installed, the other is set up. Weddings, parties, celebrations: set up for the date and removed after. That changes everything about how it gets planned, starting with the fact that there is no second chance at it.That single fact shapes everything else about event work. An installation is judged over years. An event has one performance. So the planning happens early, the what ifs get covered, and nothing critical is decided on site.
Why timing dominates
With an installation, a delay is an inconvenience. With an event, there is none. That means the conversation has to start earlier than people expect. A small display still needs a site visit, a plan, a power solution and a crew on the calendar.
What actually causes problems
The most common outdoor event problem is not design, it is electricity. Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over belong in the first conversation. A beautiful plan with no way to power it is a drawing.And whoever is handling the lighting needs to know about the other vendors, since everybody working that space is competing for the same power and the same corners.
Weather is the other one
Outdoor events in the Upstate can meet weather. Ask early: what the contingency looks like. Having an answer in advance means the day is manageable either way.
Where to put the effort
At an outdoor event the light is doing two things: atmosphere and navigation. Atmosphere comes from the canopy and the feature areas.

Who else needs to agree
Venues have rules, and finding them out late is expensive. When you can get in, what you can touch, and when it all has to come out are not yours to make. Introduce them early. It is the cheapest thing you can do and it prevents the most.
How much is actually enough
The instinct with an event is to fill the space. Dark surroundings lower the threshold, so what looks sparse on a plan often looks generous on the night. The spaces that people remember are almost always lit less than people expect, with genuine dark between the bright points. A designer who says you need less than you think is usually right.
